Our aim is to make our terms and conditions of business as user friendly and helpful as possible so that your event runs smoothly from beginning to end, all we ask is that by working together you abide by our terms and conditions of business as a basis for our contract. Once the formal side of our contract is agreed, we pride ourselves on a professional yet very friendly and informal liaison with you to make your event a success.

To make a booking with Greenwood Fine Dining

We request that all booking must be confirmed in writing. A non refundable deposit is required at the time of booking and agreement of quotation.

We ask that guest numbers/quantities are agreed in writing prior to the event.

Deposit

A deposit of 50% as agreed between the Client and Greenwood Fine Dining is required following booking confirmation.

The deposit will be deducted from the final invoice which will be sent to you 10 working days prior to event.

Payment methods include bank transfer, cheque or cash.

Booking Confirmation

As soon as the deposit has been received, Greenwood Fine Dining will issue a receipt and confirm arrangements which will include a response to your brief with the intended menu and response to any special requests.

Payment of Total Event Costs Prior to Event

Full payment is required prior to event. Final guest numbers must be confirmed to Greenwood Fine Dining no later than 5 working days prior to the event.

Final guest numbers will be used to finalise your total cost invoice, arrange staff and liaise with you or the staff at your venue.

Any additional items which are necessary “on the day” will be charged accordingly.

Variations to the Brief

On receipt of the response to the brief, any notifications must be made immediately and, if necessary costs adjustments made. E.g.Children – Any variations to menu selections for children must be discussed with Greenwood Fine Dining as soon as possible and our menus to be revised accordingly.

Greenwood Fine Dining reserve the right to alter any ingredients deemed unsatisfactory, but where possible giving the client a choice of an alternative.

Cancellation

Under exceptional circumstances, where a booking has to be cancelled Greenwood Fine Dining will need to be informed in writing. The non refundable deposit will be retained and the following charges will be incurred;

a) cancellation received within 20 working days of event -50% of total event cost.

b) cancellation received within 5 working days of event – 100% of the total event cost.

any additional costs incurred by Greenwood Fine Dining in preparation of the event up until the time of cancellation will be charged to the Client. This is to cover any losses caused to Greenwood Fine Dining for administration costs, travel, supplies etc. and will be discussed fully in event of cancellation.

Dietary Requirements and Allergies

Any food or drink allergies must be made aware to Greenwood Fine Dining in advance of the event. Greenwood Fine Dining will always be happy to provide suitable options to the menu for any guests with special dietary requirements or allergies. We cannot however, take responsibility for any quests that require special dietary requirements unless advised in advance (no less than 10 working days prior to the event).

Clients Food and Drink

We can arrange no liability for any foodstuffs supplied to you by another caterer (or food products supplied by you) in additional to those arranged by Greenwood Fine Dining.

Where you have made additional arrangements (for example, late night fish and chips) Greenwood Fine Dining will require a food disclaimer form to be completed and returned no later than 5 working days prior to the event.

As our client you will agree to pay for any loss or damage to any equipment, crockery, cutlery or glassware supplied by Greenwood Fine Dining for the event.

Greenwood Fine Dining will not be held responsible for the theft, loss or damage to any personal effects of you as our client or any gifts brought onto premises by your guests.

Left Over Food

Greenwood Fine Dining accepts no responsibility for any food left after the event at your request.

Liability of Greenwood Fine Dining

Greenwood Fine Dining accepts no liability under any claim whatsoever arising (be it by negligence or otherwise) for any loss over the figure of the existing Greenwood Fine Dining Public Liability Limit of Indemnity.

Force Majeure

Greenwood Fine Dining shall incur no liability if performance of the contract is prevented or hindered by any case whatsoever beyond Greenwood Fine Dining’s control and in particular by act of fire, flood, subsidence, sabotage, accident, strike or lock out and shall not be liable for any resulting loss or damage.
